General Terms of Participation in Outdoor Activities Programs in Greece

The activities of thepetrichor.gr are open to everyone. Anyone can participate in them with the sole condition of good mental and physical health, a willingness to collaborate with other participants, and compliance with the instructions and orders of the guides.

Despite strict safety regulations, the use of the best equipment, and the selection of the safest routes, outdoor activities in nature entail the risk of accidents or even death, and participation in them requires awareness and acceptance of this risk.

As the organizer, thepetrichor.gr is obligated to provide the best and safest equipment, experienced and trained guides who adhere to the safety rules set by thepetrichor.gr, and its responsibility is limited only to these aspects.

By expressing interest, each participant is obliged to inform the organizers of any health issues (allergies, asthma, heart conditions, back and knee pain, panic attacks, etc.). Participants are responsible for their own safety and should be aware of the risks associated with outdoor activities.

thepetrichor.gr reserves the right to exclude any participant if it deems that their physical or psychological condition endangers themselves or other participants.

In the case that participants have not reached the age of 18, they can only participate in activities accompanied by their parents/guardians and with their written consent.

Reservations – Deposits – Cancellations:
To validate any reservation, a participation declaration must be signed and accompanied by a deposit equal to 30% of the participation fee. The remaining amount is due seven (7) days before the start of the program.
The deposit or payment made to the bank account of thepetrichor.gr or by credit card or in cash automatically implies that the depositor is fully informed about the program and accepts the general terms of participation.

In the event of cancellation, for any reason, the following rules apply:
a) Cancellation up to fifteen (15) days before departure: full refund of the deposit.
b) Cancellation up to seven (7) days before the start of the program: 50% of the participation fee will be retained.
c) Cancellation within less than three (3) days before the start of the program: the entire participation fee will be retained.

If there is collaboration with other providers (hotels, travel agencies), then their payment and cancellation terms also apply.

No-show at the program: the entire participation fee will be retained.

Making a Reservation In order for an individual or a group to make a reservation through thepetrichor.gr website, they need to fill out the corresponding expression of interest form. The form needs to be completed separately by each person. If the interested person is under the age of 18, a consent form from their legal guardian needs to be sent. The form is completed and automatically sent to thepetrichor.gr. To consider the reservation valid, the interested person needs to receive a confirmation email from thepetrichor.gr, pay 30% of the total price to thepetrichor.gr’s bank account, and be assigned a meeting point, through electronic or other convenient means. Reservation Completion Reservations can originate from different communication channels (internet, travel agencies, hotels, etc.), by phone, email, or in person. In order for a person to participate in an activity, their participation must be accepted by thepetrichor.gr and a participation deposit must be paid. By accepting participation, the interested person commits to adhering to what is stated in this document. thepetrichor.gr reserves the right to exclude the interested person from the activity if they have not arrived at the meeting point on time, and 15 minutes have passed since the predetermined time. In this case, the customer cannot request a refund or any other compensation; on the contrary, they may need to cover additional costs (e.g., transportation back to the starting point) on their own. The information contained on the thepetrichor.gr website or any other promotional medium is generally considered accurate at the time of publication. However, omissions can occur in the related information, which is why you need to regularly check the information of the activities you are booking (including the price).

Participation of Groups
In the case of registering more individuals or groups for a program, the representative of the group assumes the obligation and responsibility to:
a) Ensure that all individuals complete the participation form.
b) Inform all individuals about participation requirements and what they need to have with them.

Change of Program by thepetrichor.gr
thepetrichor.gr reserves the right to modify or cancel the program before its commencement for safety or force majeure reasons (natural disasters, adverse weather conditions, strikes, and other disturbances, low participant numbers, etc.).
In case of cancellation, the entire amount paid will be refunded, and participants cannot request any other compensation.
In case of modification, thepetrichor.gr proposes an alternative program. Participants must accept the change or cancel their participation, receiving a refund of the amount paid, without any other claims, no later than 7 working days before departure.

Change of Program by Guides/Instructors
The guides/instructors of thepetrichor.gr have the obligation to conduct the programs in accordance with the rules of each activity and safety conditions. Therefore, guides/instructors of thepetrichor.gr have the right, at their absolute discretion, to modify a program that is in progress and implement an alternative program if safety requires it.
Any additional expenses incurred will be borne by the participants. Non-acceptance of the alternative program does not entitle participants to compensation.

Change of Program by Participants
Any change (e.g., number of participants, etc.) is considered a cancellation and is subject to the terms of paragraph 2.

Photography/Videography of Participants
During our excursions, we wish to take photographs/videos that depict our activities. This material will be used for audiovisual/print materials:
a) On our website (thepetrichor.gr)
b) On television channels and on social media platforms of thepetrichor.gr (YouTube, Instagram, Twitter, Facebook)
c) On the profiles of thepetrichor.gr on Facebook
d) In informational print materials of thepetrichor.gr (posters, invitations, flyers, public information materials).
In any case where you do not wish to appear in our promotional materials, you must send us your request in writing.

Insurance
Thepetrichor.gr recommends insuring the participants in the program and informs you that it has the ability to proceed with this action as it cooperates with the following insurance company:

By completing and signing this form, you consent to the collection, storage, and use of personal data. The personal data we collect, store, and process include all the personal information as filled out by you, as well as photos/videos taken during our excursions. This consent will remain valid until revoked by you. You have the right at any time to request the correction, completion, or deletion of this data by contacting thepetrichor.gr at the contact details provided at the beginning of this form. Please note that the withdrawal of your consent does not affect the legality of the processing based on the consent until its withdrawal.
